Basic Questions to be asked while choosing a Document management Solutions Provider:

Can they work with your print streams or do they need raw data? Can they work to your service level agreement requirements? If they can’t work with your print streams do they have technology to transform this to print streams that they can work with? What is the impact of this on overall process time and performance? Test it and find out.

Find out what technology they have for each process step. You should expect the following processes to be supported:

  • Ability to ingest client data and print streams into the facility and control them through workflow software
  • Ability to re-engineer print streams as required using print stream manipulation tools
  • They should have an advanced document composition platform that enables your marketing team to interact and contribute content to outgoing documents. Be wary in this day and age of composition software that will not allow you to do this. It limits your Customer Communications Management opportunities
  • Check how they control distributing jobs to printers.
  • Check the physical work flows and how well they are managed – e.g. handing printed statements from the printer to inserter feeders.
  • Check how they manage overall job tracking and whether or not they have reporting tools that allow productivity investigations and provide the ability to determine process faults.
  • Check the quality and age of inserters. Old inserters fail and become unreliable, forcing up the cost of work and risking SLA performance.
